Event essentials: What do you need to make the event successful?
Do you need tables and chairs? If so, how will the tables and chairs be arranged for your event?
What audio/visual will you need? (ie: projector, screen, laptop, sound system, iPod connector, etc.) Be specific! The more detail you can give about your event, the better. What you may think is not an important detail, could be a HUGE detail for the venue.
Are you going to order food for the event? If so, how much, what is your budget for food and beverages? Is food allowed in the room you are reserving?
Do you need registration tables?
Create a realistic timeline and deadlines:
Look at everything that needs to be accomplished and develop deadlines for completion
Deadlines need to directly relate to other deadlines from other areas
RSVPs for an event need to be in before you need an official count for catering purposes
Marketing deadlines need to be completed before Bus signs are due at SORC
To create realistic timelines, sometimes it is easier to work backwards – think about your end program/event and work your way back!
